Frequently asked questions

Everything about synchronisation, webshop, pricing, technology and payouts.

0. Getting started with RecordFlower

You need three things: an active Discogs account with inventory, a bank account for your Stripe connection and an email address for your RecordFlower account. A minimum inventory is not required — you can start with a single item.
Getting started takes four steps and takes an average of 10 minutes: (1) Create a RecordFlower account. (2) Connect your Discogs account via OAuth — you grant permission once, your inventory is loaded immediately. (3) Create a Stripe account and complete the one-time identity verification (KYC). (4) Personalise your webshop via the dashboard. Your store is live immediately after step 4.
Yes. RecordFlower is fully free to try for 14 days — without a credit card and with access to all features of your chosen plan. After the trial period, you decide whether to take out a subscription. There is no automatic renewal.
At the end of the trial period you will receive a notification. You decide yourself whether to take out a subscription — this is a deliberate, manual action. Nothing is automatically renewed or charged. If you choose not to continue, your customer data will be deleted.
Yes, and that is exactly the intention. RecordFlower is a complementary sales channel — not a replacement. Your Discogs inventory remains the central source. Sales via both channels are possible; inventory is synchronised in real time to prevent double sales.

1. Discogs synchronisation

RecordFlower connects via secure OAuth authentication. You do not share a password — you grant RecordFlower permission once via Discogs itself. Your full inventory, including releases, prices, conditions and descriptions, is loaded immediately. You can revoke the connection at any time.
New items are automatically synchronised to your webshop every night at 00:00. Don't want to wait? Via your management environment you can start the synchronisation manually at any time with one click.
The inventory in your webshop is updated immediately and automatically. This prevents double sales and keeps your inventory up to date on both platforms at all times.
No. RecordFlower mirrors your Discogs inventory and automatically adjusts it based on changes you make in Discogs. Discogs always remains the single source of truth. This prevents conflicts and ensures a consistent inventory across all channels.
Each plan includes 40 synchronisations per month (Pro: 150). Each nightly sync (00:00) counts as 1 sync; each manual sync also counts. Additional syncs can be added in batches of 20 for €5,- per month, excl. VAT.

3. Webshop & Dashboard

A buyer lands on a complete, professional webshop with your own brand: an overview of your full inventory, search by title, artist or release, filters by genre, condition and price, a detail page per item and a simple checkout process via Stripe. The webshop is fully responsive and works optimally on desktop, tablet and mobile.
You have full control over the look of your store: your logo and brand name, colours, company details and social media channels. All settings are configurable and saved immediately via your dashboard — no technical knowledge required.
Yes, with the Standalone and Pro plans. You make the required DNS changes yourself at your domain registrar. RecordFlower has a detailed blog available that guides you through this process step by step.
RecordFlower supports a multilingual website structure: Dutch, English, German, French, Spanish, Portuguese, Italian, Danish and Japanese.
Yes. Via your dashboard you can easily add colleagues as a super administrator. A super administrator has full access to all settings and features. Additional users cost €2,- per user per month, excl. VAT.

3. Pricing & Plans

RecordFlower offers three plans (all prices excl. VAT): iFrame webshop €9,- p/m — Standalone webshop €14,- p/m — Pro / Growth from €29,- p/m. A 10% discount applies to annual subscriptions. You receive a monthly invoice.
All plans include: Discogs synchronisation (40 syncs/month; Pro: 150), own webshop or iFrame integration, personal management environment with dashboard, hosting and technical management, and support via chat, mail and phone — seven days a week.
Extra user / administrator: €2,- per user/month. Additional synchronisations: €5,- per 20 syncs/month. White-label (no RecordFlower mention): €4,- per month. SEO Plus (meta titles and descriptions per listing): €2,- per month. SEO Pro (sitemap, schema.org, canonical URLs): €4,- per month. All prices excl. VAT.
RecordFlower itself charges no transaction costs per order. Stripe processes all payments and charges standard processing fees; these are passed on 1-to-1 without markup. The current Stripe rates can be found at stripe.com/pricing.
Yes. You can cancel, upgrade or downgrade your subscription monthly — without penalties or notice periods. After cancellation, your customer data will be deleted. You can export your order history in advance from your dashboard.

4. Technology & Security

All user data is stored in its own, fully isolated database. Every RecordFlower partner runs in a separate database environment — your data is never accessible to other users. The servers are located in Europe and comply with GDPR legislation. Sensitive data such as API keys are stored encrypted.
RecordFlower guarantees an uptime of 99.9%. Hosting, maintenance and updates are included as standard in every plan — you do not need to do anything yourself.
Yes. All data is hosted on a dedicated server in Europe that complies with European privacy legislation. RecordFlower processes personal data exclusively in accordance with the GDPR and always acts carefully and transparently.

5. Payments & Checkout

The checkout supports all common payment methods that Stripe makes available in the countries where RecordFlower is active — automatically tailored to the buyer's country. Think iDEAL, Bancontact, SOFORT, Apple Pay, Google Pay, Klarna and all common credit cards.
All payments are processed via Stripe Connect. The buyer pays, the amount is held by Stripe. As soon as you indicate in your dashboard that the order has been shipped, the payment is deposited into your bank account the next day. You specify yourself in which currency you wish to be paid.
RecordFlower is active in 21 countries: the Netherlands, Belgium, Germany, France, Spain, Italy, Portugal, Austria, Switzerland, Poland, Czech Republic, Greece, Sweden, Denmark, Finland, Norway, United Kingdom, United States, Canada, Australia and Japan. You decide yourself which countries you want to ship to and set the corresponding shipping costs via your management environment.
Yes. As a seller you are yourself responsible for VAT returns and remittance on your sales, including international transactions. RecordFlower processes payments but is not a tax adviser. Consult your accountant for your specific situation.

6. Sales & Inventory Management

As soon as a buyer places an order, you receive an immediate email notification. The order is also immediately visible in your management environment, including all order details.
You process the order yourself: pack and ship. As soon as you indicate in your dashboard that the order has been shipped, the payment is automatically deposited into your bank account the next day. The buyer automatically receives the tracking information. The inventory change is synchronised to Discogs at the same time.
You decide yourself which countries you ship to and what the shipping costs per country are. You set this once via your management environment. RecordFlower is active in 21 countries.
In the event of a complaint or return, the buyer contacts you as the selling party. You are responsible as the primary point of contact for handling it. If buyer and seller cannot resolve it together, RecordFlower acts as mediator.
